Before the 2 Hour Systems Consultation
The first thing that I ask you to do at the time of booking your systems consultation is to fill out a questionnaire that allows me to get a peak into what’s working and not working in your business. This is an essential first step and the more information you can provide the more I can prepare before our session and the more efficiently we can use our time together.
I am going to ask you about your current systems, if and how any of them are documented and also what about them is not working. Then I am going to ask you about the tools that you’re using during the process. This is so I can get an overview of everything.
We need to know all the aspects of your current situation so that we can start looking for a solution that works for YOU, YOUR business and YOUR team.
There is no need to have systems-shame. You’ve taken the first step to reach out and it’s time to put it all out, so we can get it fixed. There is no shame in your business having grown too quickly and you not having been able to keep up with the organisational side of things. There is no shame in just wanting to serve your clients and not wanting to deal with this stuff – it’s actually pretty normal, so please don’t worry about not using a project management tool, or not having a set way to send out your contracts. We will get you back on track.
During the Consultation
During our 2 hour session we’re going to dive deep into the most problematic area within your business. We will establish exactly what is happening right now and the problems this is causing within your business. We will then define what needs to happen instead and discuss HOW this needs to happen so you or your team feel comfortable to implement.
We will then move on to discussing possible options for tools that support your new systems, and we will consider everything from documenting the new standard operating process through to actually implementing and automating it as well as communicating this to any team members or contractors you may be working with.
After the Consultation
After our session together I will send you a detailed report of what we’ve discussed, the tools I am suggesting for you and what you need to do to get this set up. [If you don’t really want to tackle the setup, I can do this for you].
Case Study – What can I help you with and what kind of results will this get
During my most recent systems session we focussed on an efficient way of generating content for the business.
My client was concerned that she spent a lot of time in creating content, but she wasn’t really using it to generate additional clients or build authority. She felt stuck in the process of creating, without actually then sharing this content in a way that let her grow her reach. She was slowly burning out and knew that she couldn’t keep up with generating the amount of fresh content she had been creating for the past 8 months.
Together we first off established how she currently generated her content, which platforms she was creating content for, and the entire process behind it. We established that she created content for the blog, but often forgot to optimise her posts for SEO or create the right graphics. She also didn’t feel comfortable with her website and it took her a long time to go through this process every time because she wasn’t sure if she had forgotten something. This would take her so long that she then didn’t feel up to sharing this content on social media. She then got busy with client work and many posts have never been shared to her audience anywhere. She also had no list of content she had created and no way of knowing what has been shared where.
It became very evident that there was no process in place to make sure this gets done in an efficient way and the result was constant overwhelm when it came to creating content.
We sat down on our session together and established a system for content generation that would work for her.
- Working off of monthly topics and weekly focuses
- Choosing one MAIN platform to generate content for
- Developing a system for creating these topics and the weekly content
- Defining how to spin social media content off of the ONE main piece of content each week
- Documenting everything in google drive so she has easy access to the overview of content, the posts she has written, videos and graphics in one place
- Creating standard operating processes for uploading content to the blog (her main piece of content) and each and every step involved
- Creating templates for social media and blog cover images as well as video covers for youtube
- Creating a schedule for sharing the one main piece of content on social networks.
- Recording a loom video of the blog content upload and all steps involved for her to reference and for any team members to use in future
As a result, she is now regularly creating content, without burning out and she can focus on actually building relationships to sign up additional clients for her coaching practice. She went from spending around 2 hours per day on generating new content to spending around 3 hours a week on the main piece of content and social posts generated from it.
As you can see from this, not having a system costs you a lot of time that you could be spending elsewhere. It keeps you in a state of mental busy-ness and overwhelm and that reduces your clarity and focus and will ultimately keep you stuck.
