Being a business owner means that you suddenly have a LOT more work and just stuff on your plate than you probably ever thought you would. And faster than you can imagine you’re drowning in chaos. So if you need a way to revolutionise how you’re running your business and managing all the things then Notion may be for you! So let’s dive into my Notion for Business Owners tips. [These are particularly juicy for my fellow ADHD peeps that struggle in particular with the challenges of having to keep a tab on all the things!]

The perfect tool for you – Notion for Business Owners

Running a business means wearing all the hats and juggling all the things – particularly early on in the journey where outsourcing to experts isn’t really in the budget yet! So, very quickly there is tasks and appointments, and content, and SO MUCH INFORMATION to be processed as you’re learning.

So, you start taking notes.

That usually looks something like this:

Open Google Doc, add really important notes, close Google Doc. 2 weeks later “I’m sure I wrote this down somewhere…” and then the search begins.

When you’re running a business your key job is to get things organised. Both for yourself now and for Future You that’s going to be growing and maybe taking on team members. And that’s why I think Notion is perfect for business owners to get their stuff in order.

AND it works wonders for the ND brain too, because you can customise it to work for YOUR brain instead of being pushed into someone else’s idea of “organisation”.

So, here are all of my reasons why I love Notion for Business Owners to get your business stuff under control:

1. Flexibility and Customisation

Notion provides the flexibility and customisation options that cater to the unique needs of every business owner and every single different business type. Whether you’re a freelancer, content creator, online business owner, online coach, or service provider, Notion can be tailored to suit your specific requirements. You can create a personalised workspace that aligns with your workflow, allowing you to stay organised and focused on what matters most.

And if your brain has thought patterns that are maybe NOT traditional, and you need a personalised setup, then Notion can do it.

2. Centralised Information Hub

There is nothing more annoying than constantly searching for information, searching for that document, searching for that affiliate link.. it wastes SO MUCH time and honestly it’s unnecessary.

We process a large amount of data in our work, we create a lot of documents, we make resources, we write content, make videos etc. and it doesn’t take long before your Google Drive looks like a bomb site – and the search starts failing you.

So, with Notion you can build a central hub for your business to store everything you need to run the show. Strategic documents, brand information, processes and systems, links to important tracking documents etc. and this will make sure that you and your team have access to everything.

3. Collaboration and Teamwork

Running a business often involves collaboration and teamwork. Notion’s collaborative features make it easy for you to work seamlessly with your team members, contractors, or virtual assistants. You can assign tasks, track progress, leave comments, and communicate effectively, all within the Notion platform. No more sifting through endless email threads or switching between different apps – everything is in one place. You can of course manage your projects in a separate app too and keep Notion simply for the data storage, to make wiki’s, to link your other docs and so on. That’s what I do.

4. Project Management Made Simple

Notion’s project management capabilities can transform the way you approach and execute projects. Whether you’re managing a single project or multiple ones simultaneously, Notion’s databases can be changed to mimic kanban-style boards and calendar views allow you to visualise your tasks or your upcoming content, set deadlines, and track progress. You can create workflows, assign tasks, and ensure that nothing falls through the cracks – which is great for my brain and one of the reasons why I love Notion for Business Owners.

5. Information Organisation and Retrieval

Finding the right information at the right time is essential for business owners. Notion’s powerful search capabilities and organisation tools enable you to categorise, tag, and filter your content, making it easy to locate what you need quickly. Say goodbye to digging through folders or scrolling endlessly through documents – with Notion, you can find what you’re looking for in seconds. I love the databases feature, because it’s way simpler to tag and organise your content and then retrieve it again when you need by filtering for what you need.

You can even go as far as building a second brain in your Notion account – if you really want to geek out here is an article from Tiago Forte, who coined the term Second Brain.

Practical Tips for Using Notion for Business Owners

Now that you understand why Notion is a game-changer for business owners, let’s dive into some practical tips on how to get started and make the most of this powerful tool.

1. Set Up Your Workspace

The first step is to set up your Notion workspace. Setting up your Notion for Business Owners starts with planning.

Notion in itself is a blank slate and you need to create a plan for what you actually need.

I for example have a dashboard where I can see the most important things for my day at a glance. I can see my upcoming tasks. I can see all of my open projects. I have a Pomodoro clock on there and also a few reminders and quick shortcuts.

Think about how you want to structure your information and create a hierarchy of pages and databases that align with your business needs. Consider creating pages for different aspects of your business, such as projects, clients, finances, and marketing. Experiment with different templates and layouts until you find a setup that works best for you.

2. Centralise Your Business Resources

Create a centralised hub for all your business resources. This can include brand assets, style guides, standard operating procedures, and templates. Having everything in one place ensures that you and your team can access the information you need without wasting time searching through different platforms or folders. Use Notion’s gallery view to present visual resources, such as design inspirations or examples of best practices. I personally have for example ONE master content database where I store all of my posts and links so I can easily reuse them time and time again if they performed well.

3. Streamline Your Project Management

Utilise Notion’s project management features to streamline your workflow. Create project boards to track tasks, set deadlines, and monitor progress. Assign tasks to team members and use the @mention feature to notify them. Incorporate project calendars to visualise deadlines and milestones. Notion’s flexible layout allows you to customise your project boards to fit your specific project management style

4. Collaborate Effectively

Take advantage of Notion’s collaboration features to enhance teamwork and communication. Use the comments section to provide feedback, ask questions, or discuss ideas within the context of a specific task or project. Share important updates or announcements using the @all mention to ensure that everyone is on the same page. Leverage the power of real-time collaboration to foster a sense of unity and efficiency among your team members.

5. Keep Track of Client Information

Create a dedicated database in Notion to store client information. Include details such as contact information, project briefs, preferences, and any other relevant information. Having all your client information in one place allows you to provide personalised and timely service. You can also utilise Notion’s reminder feature to follow up with clients or schedule important meetings or milestones. If you always deliver projects that have the same deliverables, then setting these up as template pages makes onboarding clients SO much faster.

6. Stay Organised with Task Management

Notion’s task management capabilities can help you stay organised and focused. Create to-do lists, set priorities, and assign due dates to ensure that you stay on top of your tasks. Use tags and filters to categorise your tasks based on urgency, project, or context. Notion’s reminders and notifications feature will keep you informed about upcoming deadlines or tasks that require attention.

7. Track Your Finances

Managing your finances is crucial for the success of your business. Create a database or spreadsheet in Notion to track your income, expenses, and financial goals. Use formulas and calculations to generate reports or visualise your financial data. Notion’s integration with third-party finance apps can further streamline your financial management process.

8. Develop a Content Planning System

If content creation is a significant part of your business, Notion for Business Owners can be a valuable tool for planning and organising your content strategy. Create a content calendar to schedule and track your blog posts, social media content, or email campaigns. Utilise Notion’s templates to plan content themes, brainstorm ideas, and keep track of your content assets, such as images or videos.

9. Implement Knowledge Base and Documentation

As a business owner, you accumulate valuable knowledge and insights over time. Capture and organise this knowledge in a knowledge base or documentation database within Notion. It can include best practices, troubleshooting guides, FAQs, or any other information that can benefit your team or clients. Share this knowledge base with your team to promote self-service and empower them to find answers to common questions or issues.

10. Continuously Optimise Your Workflow

Finally, remember that Notion is a dynamic tool that can evolve with your business. Continuously evaluate and optimise your workflow to ensure that it aligns with your changing needs. Experiment with new features, explore integrations with other tools, and seek feedback from your team to identify areas for improvement. Notion’s flexibility allows you to adapt and refine your processes as your business grows.

Conclusion

Notion is not just another productivity tool – it’s a game-changer for business owners. Its versatility, customisation options, and collaborative features make it the ultimate tool for managing your business. By leveraging Notion’s capabilities, you can streamline your workflow, stay organised, and achieve your business goals more efficiently. So, what are you waiting for?
